CRM & Reports Coordinator, Teatro ZinZanni - Seattle
POSITION SUMMARY: The CRM & Reports Coordinator is a key member of the Communications and Marketing Team who provides the most current and accurate picture of all ticket sales, assists the Communications Director in creating and analyzing the budget by translating budget concepts into detail and numbers into written analysis, administers revenue and marketing budgets, creates and monitors surveys, and maintains and coordinates our CRM database. This Excel-Wizard helps identify sales trends and looks for ways to strengthen patron relationships; he or she is adept at customizing and developing CRM tools. Track a campaign through different channels in terms of data, processes, skills, and deployment methods and report on the effectiveness of each channel. Uses analytics tools to measure the effectiveness of our campaigns and inform future work.
ESSENTIAL FUNCTIONS
- Understand and prioritize customer-focused business requirements, translating them into a continuous pipeline of general CRM/Marketing activities.
Discover, test, implement, and tune tactics throughout all aspects of CRM and different marketing channels.
Communicate CRM progress and incremental successes to executive management on a regular basis. Generates daily, weekly, monthly, quarterly and annual reports (including Daily & Monthly Sales, Monthly Internet Metrics Reports, Weekly Trend, Comp, Promotions, in-kind)
Administers revenue and marketing budgets, including monthly GL reconciliations and Dept credit card statements
Responsible for reconciling gift card sales with outside vendors
Administers Advertising Schedule, including insertion orders, generating weekly production schedule
Monitor key performance indicators to assist in ongoing process improvement initiatives.
RESPONSIBILITIES
- Maintain and update customer lists
Manage, update and create contracts for in-kind/media sponsors.
Manage weekly advertising insertion schedules and graphic design production calendar for placement of advertising. Ties this back to the marketing budget.
Works with Marketing & Sales to manage our Google AdWords accounts.
Maintains the Comment Card Report (includes comments from weekly follow-up emails to patrons)
Inputs data for Celebrations Club members; coordinates mailings
Actively participates in weekly marketing and sales meetings, quarterly dept strategy meetings.
JOB QUALIFICATIONS
Essential minimum skills, education, and experience:
- Proficient with ShoWare and SalesForce.
Detail oriented.
Excellent written and oral communication skills.
Problem solver.
At least three years of previous box office sales and/or database management experience, preferably in a theatrical or fine arts environment.
Strong computer application skills with the ability to quickly learn and apply new applications.
Advanced proficiency with Microsoft Excel, Word, and applications that support project and productivity management
Advanced proficiency with Google Analytics, Google AdWords
Ability to manage vendors and client relationships remotely; ability to multi-task, and effectively manage workflow processes
Strong organization and project management skills. Familiar with and able to use process mapping methodology.
Able to identify and analyze project or system requirements
Reports to: Director of Communications & Marketing
Works closely with Box Office Manager, Webmaster, Community Manager, and Marketing & Design Manager.
